​CANCELATION POLICIES

  1. There is no charge for canceling before 30 days of your booking. 

  2. If the booking is canceled between 7-30 days before arrival we charge 50% of the total booking cost

  3. If the booking is canceled less than 7 days before arrival we will need to charge the full booking amount

 

BOOKING & CANCELATION POLICIES (continued)

We do try to fill the vacancy as soon as we get a cancellation and we take that into account when charging for cancellations. Should we deem it necessary we will adjust your reservation to a category that is appropriate for the size or your group. We encourage you to research travel insurance services if you might need to cancel or interrupt your trip due to unforeseen circumstances. 

​

  • The full balance is due immediately in order to secure your booking at EarthWell.

  • The full cost of the booking is charged in the event of a no-show or booking reduction (after arrival date).

  • All payments will be refunded in the event that we are closed due to COVID-19 government-ordered travel restrictions.

  • A voucher to book an alternative date will be given to you, should we need to cancel your stay due to an Extreme Weather Warning (see more below).

  • 100% of your payment will be refunded to you in the unlikely event that we cancel your stay for any other reason.

  • Bookings made using any specials, offers, discounts, or free nights from EarthWell are subject to the same cancellation policies as above. 

  • EarthWell only handles bookings from persons over 18 years of age. All children must be accompanied by an adult at all times. 

  • If it rains or snows we are not able to provide any refunds or the ability to book alternative dates since we are open year-round

 

EXTREME WEATHER & CANCELLATIONS 

 

For your safety and ours, EarthWell reserves the right to cancel your booking at any time in the event of extreme weather conditions. Should we determine that a cancellation becomes necessary, we will issue you a voucher to book an alternative date.

  • For Spring, Summer, and Fall, we define extreme weather as: The National Weather Service has issued a Severe Thunderstorm Warning, a Tornado Warning, or a warning pertaining to high or damaging winds in excess of 45 mph. 

  • For Winter bookings, we define extreme weather as: The National Weather Service has issued a Blizzard Warning or a Winter Storm Warning.

WHATS INCLUDED IN ALL RENTALS?

  • Small shared indoor kitchen (in Main House)

  • Shared Eloo Bathrooms (2) 

  • Shared indoor bathroom and single shower room (in Main House)

  • Access to EarthWell pond area, walking paths, and Clark & Avis Spike Preserve hiking trails

  • A Kitchen Box for your party that includes: pots, pans, plates, silverware, cups, mugs

WHATS NOT INCLUDED?

  • Washing of the dishes and cleaning of any kitchen equipment or the kitchen

  • If tenting, you must bring your own or rent one for $10/night

  • Cleaning a soiled restroom (any fecal matter is visible and/or urine present outside of intended receptacles)

  • Final pre-checkout tidying of cabins and tent site

ELEMENTAL CABINS INCLUDE:

  • Pre-cleaning, and sanitization (final tidying is your responsibility)

  • Clean cotton linens (sheets, pillows, and blankets)

  • Please bring your own towels (Towels available upon request if traveling from a distance).

  • Portable Fans for summer rentals

  • Screened in porch with seating 

  • Heat source for winter rentals

CANVAS 3-SEASON BUNGALO

  • Pre-cleaning, and sanitization (final tidying is your responsibility)

  • Clean cotton linens (sheets, pillows, and blankets)

  • Please bring your own towels (Towels available upon request if traveling from a distance).

  • Portable Fans for summer rentals

EQUIPMENT USAGE & DAMAGE POLICIES  

  • No cooking or use of cooking appliances inside the eco-cabins.

  • Small propane camping stoves may be used outside a 10-foot perimeter around the cabin, tent and other structures. 

  • No heating equipment inside tents

  • No open flame inside tents or cabins. 

  • No smoking inside the cabins or tents. 

  • No pets permitted

  • No alcohol or illigal drugs permitted

Any damage to the property or equipment must be paid for. You will be charged for any and all undeclared damage discovered after your departure. This may include, but is not limited to cabins, bathrooms, the kitchen and other buildings and structures. Items such as bedding, blankets, furniture, carpeting, lighting, tenting, and cookware.

We will not usually charge for small accidental damages but please do report all breakage and damage at the time or before you leave. We want to know what needs fixing or replacing as soon as possible. (Please email miriam.earthwell@gmail.com)

NATURAL FEATURES WARNING

Please remember you are staying in a outdoor camping environment with live animals and other hazards including the proximity of deep water, falling branches, and unexpected weather events. Some of the kitchen or equipment on the property can be dangerous if misused. Muddy Mantis LLC and EarthWell LLC accepts no liability for any accident, injury, death, loss or damage sustained by any retreat guest, resident, family, visitors, animals, vehicle or personal effects however caused.

OCCUPANCY POLICIES

  • Occupancy of a cabin must not exceed 3 (adults or children), and occupancy of a tenting spot must not exceed 2 adults (no child max). Adults are those aged 18 and older. 

  • We reserve the right to decline accommodation and/ or ask you to leave the site at any time if your numbers exceed this. The booking will then be deemed cancelled with full loss of payment.

DAY VISITORS

  • You may host additional day visitors for $9 a day (7am-10pm)

  • You may not host unbooked guests.

  • In certain circumstances additional cots can be arranged in a cabin, but only by prior agreement with EarthWell, and payment of an additional fee.

CARTS AVAILABLE 

  • Cabins and tents are located a 5-10 minute walk into our property. Carts will be available for you to more easily carry your belonging to your tent or cabin as needed. 

​

PERSONAL BELONGINGS

  • Earthwell accepts no liability for any belongings left in the tents, your vehicles or on the property at any time.

​

NOISE & NUISANCE

  • No amplified music is allowed at anytime. 

  • Loud noise, nuisance, or disrespect of other guests will not be tolerated.

  • Please keep to quiet talking level after 10pm, especially surrounding the outside of your cabin or tent.

  • Guests who are causing nuisance may be required to immediately leave EarthWell with no refund.
